As someone who’s both an advocate for innovation and a believer in thoughtful, people-focused progress, I want to share some guidance and practical advice that can help make responsible AI use a habit for everyone in the workplace.
Safeguarding IP and Corporate Data
- Know the Rules: Always follow company policies and stay informed about legal requirements such as GDPR and CCPA.with clear, time-stamped video.
- Control Data Input: Never submit confidential or sensitive company information to public AI platforms. Always use your company’s approved AI vendor for business-related AI tasks.
- Vendor Evaluation: Approved AI vendors, including Microsoft Copilot, are chosen for their strong security measures and transparent contracts. Preference is given to tools hosted on company infrastructure.
- Monitor Outputs: Validate all AI-generated content before sharing or acting on it and use monitoring tools to detect possible data leaks.
- Employee Training: Take part in ongoing training focused on secure and responsible AI use. Help build a culture of vigilance and openness around data safety.
Responsible Personal Use of AI
- Protect Your Privacy: Do not share personally identifiable information (PII), financial data, or other sensitive details with public AI platforms.
- Source Reliability: Always fact-check AI-generated information before relying on it for personal or professional decisions.
- Copyright and Ownership: Do not reproduce or distribute copyrighted material through generative AI without proper authorization.
- Data Retention Awareness: Review AI platform privacy policies and opt out of data collection whenever possible.
- Separate Company and Personal Use: Use only your business account and the company’s approved AI tools for company-related data or queries; reserve personal accounts for non-work purposes.
- Use Approved Tools: Do not use unapproved AI services (such as ChatGPT, Gemini, etc.) for any company projects, materials, or proprietary information. Resolve claims faster with indisputable footage.
